About the project
Their many things have been changed during the pandemic. As an example our traditional on-site way of working. You are no more enshrined to your working desk, you can work from anywhere you want.
But anyway it is hard to wrangle with the fact that from time to time working from the office could benefit you more. Especially, if you miss chill talks with your colleagues in the kitchen. There is a little issue with finding a desk, most of the companies have been making transitions from a classic approach where each team member has their own desk to a flexible «hot-desk» one, to support the mobility and of taken,

User Interviews
With these COVID times and wanderings to the remote approach, we faced the situation that we had a lot of booked but free desks. It was immediately clear as daylight that we need to adapt our office to a «hot desk» environment. During our research process, we didn’t find the right tool for our company size (70-100) with easy Slack integration. Finally, we came up that maybe

Our research process was pretty simple. We talked with a few Software Houses owners of the same size and HRs. For the MVP we decided to focus on tech companies that have less than 150 members on board.
Findings
1.80% don’t use any web solution because it requires them to subscribe to additional app where they are going to use only 5% of its functionality.
2.Most of employees don’t really want to sign up for one another app to do just a booking of their desk.
3.It would be great to have integrations with their current communication apps.
Problems we had to faced
Most offices are irregularly shaped. It can be difficult for an administrator to create an office identical to the real one without technical knowledge
Due to the lack of parking spaces, employees can be late to the office and be annoyed
It should be possible to book not only office tables, but also meeting rooms
Process
User Flow Maps
At the beginning, we needed to define the high-level flows for two target audiences: Administrators and Employees. Mapping the Information Architecture helped us to plan where to put each piece of the puzzle.
Wireframes
Based on the insights from the research and user flows, we created lo-fi wireframes. As the problem could be solved in different ways, we quickly iterated on the screens to find the best way forward.
Typography & Colors
Visual Design
We wanted to create an association between the design and the name "Hot Desk". So we chose colors that are associated with "Hot" and match well with each other
Employees’ booking flow
Hot Desk easily integrates into the company’s Slack workspace. So the user can book a desk in just a few clicks
Administrators’ settings
and analytics experience
Easily set up the solution to match your companies needs and brand book. And of course, how is it possible to have an admin side without any possibility to analyze or measure smth.
Usin the Dashboard, admins can monitor the building capacity
by viewing the number of people with desk bookings for the day compared with the total number of usable desks. Besides, admin can also view the roster of bookings for different spaces and for different dates (past or future) using the calendar.
We tried to visually separate bookings of meeting rooms and tables. That’s why we used cards to display information about meeting room bookings and a table for desks, as they contain more information.
Creating office space
During our work, we tried several options for creating an office.
Finally we decided that the best solution would be to create an office by loading a plan
Тhe administrator can choose to load individual rooms or floors. As we have provided different types of indicators for different types of bookings. Such as individual tables and meeting rooms.
Desk settings
The administrator has the ability to assign desks personally, add numbers and edit the availability of desks without deleting them
Analytics overview
You can use Hot Desk’s analytics and reports to learn about space & desk utilization in the office. It helps teams understand office capacity and how to optimize existing space or plan for new ones.
